Frequently Asked Questions

 What is Nolij Web?

Nolij Web is enterprise content management  (ECM) built for Higher Education. It provides document imaging, workflow, content management based upon the integrated administration which the University Applications Development Document Imaging Team provides.  Nolij Web is just one of the many administrative application systems that  EAS (Enterprise Application Services) supports

 How do I request an account?

Refer to the ITS  policies on account access here:  Nolij Web Policies

and then please fill in this form for access to Nolij Web:   Document Imaging Account Requests

 How do I log in?

If you have an account, you can simply click on the link. If you do not yet have an account, have the EAS (Enterprise Application Services) Primary Contact request one on your behalf. ITS will need your Net ID, and the Roles (if known) that you will need.

Firefox is the recommended browser for use with Nolij Web.  Other supported browsers (in order of preference) are: Chrome, Internet Explorer and Safari.

Please take a moment to bookmark the URL in your browser for future use. Log in using your active Net ID and password (without @albany.edu).  Your Net ID is sometimes referred to as your UA ID.

 What do these icons in Nolij Web do for me?

Definitions and Right Mouse Clicks

 

Drag Mode:  Allows you to select the document and move it with your pointer.  The Document Viewer displays documents in sections. When you hover your mouse over the document

in Hand Mode, the pointer changes. Click a document to select it; you can "move" the document in any direction, to view a desired portion of the document.

 

Select Mode:  Allows you to select an annotation for editing.

 

Save:  Saves annotations to the document.

 

Print:  Prints the document.

 

Rotate Counterclockwise and Clockwise:  Click the associate icon to rotate in the direction indicated by the arrows (clockwise or counterclockwise)

 


Annotation Tools Drop-down:  Click to see annotation options.

Highlight:  Hold down your right mouse button and drag the area to highlight

Circle:  Hold down your right mouse button and drag the area to circle

Redaction:  Hold down your right mouse button and drag the area to redact

Free Text:  Hold down your right mouse button and drag the area to add text

Line:  Hold down your right mouse button and drag the area to draw a line

Square:  Hold down your right mouse button and drag the area to make a square

Sticky Note:  Hold down your right mouse button and drag the area to make a sticky note

Hide Annotations:  Check this box to hide annotations on a document


 

Zoom In, Zoom Out:  Click on the associated icon to zoom in (green +) or zoom out (red minus)

 

Fit Width:  Resizes the document to fit it into the width of the Document Viewer.

 

Fit Page:  Resizes the document to fit it into the entire Document viewer.

 

Maximize:  Resizes the Document Viewer so that it fits into the entire browser window.

 Why do I lose my previous query results when I query a new student?

You can change this setting by right‐clicking on the Query Results Bar and uncheck the “Clear All Results Before Each Query” option.


 Why can’t I drag a document from my desktop directly into Nolij?

You can, but you have be in the right Role (almost all Roles permit it) and have the right part of the Nolij Web application open to do it.  In the lower left‐hand corner bring up the System and System Objects bar.   This allows you to drop a document into Nolij Web from your local drive or one of your mapped network drives.

 Why can’t I double‐click on a document, make changes to it and save it?

Nolij does not allow you to directly open the document on the server.  Instead, it will allow you to open a copy of that document.  If you save changes to that copy you have to upload that copy into Nolij.   If you are simply leaving notes on a document you might find it easier to use the Annotation Tool that Nolij has provided.

 How do I "drag and drop" documents into Nolij Web?

You may drag a PDF or JPG file into the folder from your desktop. In this example we have a folder on my desktop named SCANNED DOCS in order to find documents quickly.  

First you must already be in the student folder in Nolij Web

In Nolij Web 6.7, At the bottom left hand side of the Nolij Web screen, you will see that there are System and System Objects windows.  In Nolij Web 6.8, in the middle of the left side of the file explorer,  there is an upward pointed green arrow - click on it.

Click on the toggle buttons for each of these windows to enlarge them. Then find the document you wish to load through the System dialog on the left and in System Objects select the intended file.



Click on the document you are moving into the folder. Hold down the left mouse button and drag into the folder objects window. When you see the upload 1 file(s) icon in that window you release the mouse button.


Your document will then be added to the documents already in the folder objects window. You will then need to tag the document with one of the names in the index list. 

Right click on the document in the Folder object window.



Click on more index types to reveal the entire list of possible names for your document. Scroll through the list until you find something appropriate. Once you choose, click ok.

 How do I scan documents into a Nolij Web folder?

You can add new documents to an applicant’s folder. Either scan a document with a scanner (must be TWAIN compliant) or add a file that you have saved.

In Nolij Web, you must be in the application folder into which you are scanning: 

In the header, you will have the option to scan: 

If scanning a single page document, click on the scan icon. If scanning multiple pages into the same student folder, click on the dropdown arrow beside the Scan icon and check the box beside Multi Page -- then click the scan icon.

A menu box will appear, from which you select your scanner

Note: Please use the following as your defaults for scanning into Nolij Web:

200 x 200 dpi

Black and white. 

Click Scan once you have these settings chosen

When finished scanning the document will appear in the Folder Objects window.


Once the document is scanned you will have to tag it with the appropriate label. Right click on the document in the Folder object window.



Click on more index types to reveal the entire list of possible names for your document. Scroll through the list until you find something appropriate. Once you choose, click ok.



 Why are there dark lines in the documents I've just scanned?

Dark lines or patches might occur consistently in the scanned images even though they do not appear in the documents. If the document is in good condition and if the lines appear in most or all of the scanned documents, it means that the scanning glass bed and/or the thin glass strip behind the scanning bed is unclean. Wipe both the surfaces with the cleaning napkins specifically used for this purpose (the small alcohol swabs and dry pads)

 Why aren’t my documents clear to see in the viewer?

What you’re viewing in the preview pane is simply a low resolution jpg of the file that you uploaded.  Double‐click on the document in the objects pane, and it will bring up the document in a higher resolution. This is called app activating because what you are in effect doing is invoking whatever associated application (Acrobat Reader, Word, Irfan) to view the original.

 Can I drop one document onto another in Nolij Web to combine documents?

You can merge multiple documents into one document by doing the following:
1. In the Folder Objects pane, select the documents you want to merge. To select multiple documents:

Click a document and press and hold the Ctrl key as you click each document with your mouse.

Click a document and press and hold the Shift key as you click another document to select contiguous documents.
The order in which you select documents effects the properties and page order of the merged document. The first document that you select for merging is the document into which other
documents are incorporated. The first document is modified and contains any other documents merged into it; all other documents are removed.
In addition, the merged document has the same properties as the first document you selected, such as name and index type. Pages are added to the merged document according to the order in which
the individual documents were selected. For example, if you first select the document Transcript, then select Application, and finally select Essay to be merged into one document, Transcript is the document into which Application and Essay are merged. In the merged document, pages are ordered by first pages in the Transcript document, then Application, and finally Essay pages.
2. Right-click the documents and select Merge Selected from the popup menu.

 Are there performance differences between different browsers?

The vendor strongly recommends Internet Explorer.   If you are not scanning, nor dragging and dropping files into the system, then your activities do not require Java and you might opt to use other browsers like Firefox.  If you need to scan or drag and drop files into the system, use Internet Explorer.

 What is the deal between Nolij Web and Java?

Requirements for using Nolij Web: a java-enabled browser and having the browser allow pop-ups. Note: Google Chrome and Mozilla Firefox have disabled the NPAPI plug-in (technology required for Java applets)  with the exception of support for Flash and Silverlight .   This leaves us with Internet Explorer for activities requiring Java.

If there is (as there is so often) still an issue with functionality, please clear the java cache to allow the most recent version of the program to load.

Clearing the Java Plug-in cache forces the browser to load the latest versions of web pages and programs.

To clear the Java Plug-in cache:

  1. Open the Java Control Panel
    • On Windows, open Start > Control Panel
    • On OS X, open Apple menu > System Preferences
  2. Double-click the Java icon. The Java Control Panel appears.
  3. Under Temporary Internet Files, click Settings. The Temporary Files Settings dialog box appears.
  4. Click Delete Files. The Delete Temporary Files dialog box appears.
  5. Click OK on Delete Temporary Files window

    This deletes all the Downloaded Applications and Applets from the cache.
  6. Click OK on Temporary Files Settings window

    If you want to delete a specific application and applet from the cache, click on View Application and View Applet options respectively.
 Does Nolij Web work with Windows 8?

No, Windows 8 is not supported for use with Nolij Web

 Does Nolij Web support Internet Explorer 10?

Mostly. Users can run Nolij Web using Internet Explorer 10 in "compatibility mode". However, IE10 is not recommended for building forms or workflows in version 6.7 and the Nolij Web administrator users should use IE9 instead.  Internet Explorer 10 is supported in Nolij Web 6.8.x and higher.

 Where did my redactions go when I open my redacted document?

Redaction black bars can only be seen when you app-activate a document that is of a .tif file type. Other document types can be redacted within Nolij Web, however using app-activate on the document will make the redacted areas viewable. If it is important for the redaction to be permanent, we recommend editing the document, saving a new file, and loading that redacted file to Nolij Web

 Does it work on.....?

Does Nolij Web work on iOS or Android devices?

Yes, iOS and Android operating systems are currently supported. Does Nolij Web work on a Mac? Yes. Nolij Web is a web-based application that requires Java. As long as a supported Java version is installed on the Mac, Nolij Web will work.

 What is the difference between Document Management and ECM?

Enterprise Content Management is a strategy.  The document management component of the strategy, which includes document imaging,  begins with document storage and retrieval.  Integration with an enterprise database like PeopleSoft, as well as business process management (BPM), also known as workflow, are functions provided by our legacy system, Nolij Web.
Enterprise Content Management (ECM) adds significant functionality that document management lacks such as: content analytics, collaboration and task routing (as opposed to the pure record routing).   ECM supports the strategic initiatives of an organization.
