ITS provides many services to support your communication and collaboration needs.  Each service offers a different set of features and functionality.  


Email and Calendaring Tools

UAlbany Mail (Individual Mailbox)

  • All faculty, staff, and students are provided with mailboxes in UAlbany Mail to send/receive email, maintain a personal calendar, and schedule meetings with others. 

UAlbany Mail (Shared Mailbox)

  • Useful when it is important to centrally collect email sent to a group/team with the ability to respond from a team email address.  It also provides a shared calendar. 

Email Distribution Groups

  • Available to provide a single email address that delivers mail to all UAlbany Mail customers in the group/team. 

Office 365 Groups

  • In addition to email distribution functionality, these offer several additional features useful for group collaboration:
    • Group Calendar
    • 1TB of group file storage space in SharePoint Document Library (similar to OneDrive for Business)
    • Group OneNote Notebook
    • SharePoint Team Site

Conferencing Tools

Features:

  • Audio conferencing, video conferencing, online meetings, group messaging and web conferencing service in the cloud
  • In-meeting polling and breakout rooms
  • Dial-in conference bridge/phone number option for all meetings

Use-cases:

  • Reduce travel between buildings/campuses by holding online meetings

  • Faculty: Teach courses online with video sharing and breakout rooms for smaller group discussions

  • Researchers: Meet with colleagues around the globe

Microsoft Teams

Features:

  • An entirely new chat-based workspace that features group and private messaging (chat/Instant Messaging/IM), with threaded and persistent conversations
  • Video conferencing
  • Online presentations
  • Provides meetings with audio, video and content with small or large teams
  • 1TB file storage that you can organize by Channel

Use-cases:

  • Leveraged by users and teams who are looking to collaborate in real-time with the same group of people and/or externally with customers/partners

  • Helps teams looking to iterate quickly on a project while sharing files and collaborating on shared deliverables

  • IM (instant message) and share files with your colleagues

  • Reduce travel between buildings/campuses by holding online meetings

  • Staff: Store your procedural documentation in one place that is easily accessed by anyone on your Team

  • Faculty: Build a collaborative Team for a course so students can work together toward a goal

UAlbany Conference Bridge (Requires reservation, 16 callers or fewer) 

Features:

  • Reservation Required.
  • Up to 16 callers.
  • No local access tolls from on campus participants.
  • Local (518 Area Code) dial-in number for off campus participants.
  • Telecommunications Service Center customer service available M-F 8:30 am to 4:30 pm.
  • Ability to lock conference call to prevent others from participating.
  • Entry & exit tones.

Intercall Conference Bridge (Reservationless, any size)

Features:

  • Does not require a reservation or an operator
  • Available 24 hours a day, 7 days a week
  • Toll-free call in for participants
  • Supports calls of any size, including calls with 17 or more participants
  • Private roll call for host
  • Post-call report statistics emailed to you
  • Special NYS contract pricing

Collaboration Tools

What are collaboration tools?

In its simplest definition, collaboration tools are applications designed to help two or more people work towards a common goal by providing a collaborative work environment.  A workgroup or team will often use collaboration tools as a medium for the members to interact. 

UAlbany provides a growing "toolkit" of collaboration tools.  The tool or tools that you choose to utilize may vary from case to case, depending on your needs and the parties involved.

Microsoft Teams

Features:

Wikis @ UAlbany  

Features:

  • Group or team wiki spaces in Wikis @ UAlbany provide an interactive, web-based collaboration platform for group/team members inside and outside the University. 

  • A website that allows multiple users to add and edit content. 

  • Flexible content wiki pages

    • Text, graphics, links, file attachments, etc., for collecting, developing and/or presenting team material content 

    • Task lists, meetings notes, risk/issue lists, etc., for project management 

  • Blog posts

  • File lists with versioning 

  • Discussion boards

  • Forms to collect information from users

Use-cases:

  • Intranet/internal website for an office or working group to document procedures, specifications, and store important files
  • Public-facing website for a project, committee, or working group
  • Knowledge base for procedural or troubleshooting information (like AskIT!)
  • Create forms to collect information from users and send results to an email address or store directly in the wiki

Office 365 Groups  

Features:

  • In addition to email distribution functionality, Office 365 Groups offer several additional features useful for group collaboration:

File Storage and Sharing  

OneDrive for Business 

Features:

    • Allows a person to share files in his/her personal file library with others inside and outside the University as needed

    • Synchronize your files to your workstation (Windows or Mac)

Use-cases:

    • Store your personal work files in a secure and accessible location so you can get to them from anywhere with an internet connection, including your mobile devices
    • Share your files with a coworker and co-edit them in real time

Group or team folders (Departmental Folders)  

Features:

    • Provides central file space for team members with a UAlbany NetID

Use-cases:

    • Store important files that you share with your department or division in a secure location

Telephone Services

All services associated with telephony, including voice services, voicemail, call center design and implementation, dial tone, local and long distance calling, emergency phones and switchboard directory.

Features:

  • Voice over Internet Protocol (VoIP) phones with callerid, speakerphone, color screen display
  • Presence - see the availability of co-workers and colleagues and create customized availability states, e.g. "in a meeting"
  • Conferencing or conference calls
  • Voicemail-to-email integration

Jabber

Features:

  • Voice and video calling from your computer or mobile device
  • Presence - see the availability of co-workers and colleagues and create customized availability states, e.g. "in a meeting"
  • Voicemail - manage your voicemail messages
  • Desktop sharing
  • Conferencing or conference calls

Television Services

Television Services include cable television (cable tv), digital signage and broadcast services.

Digital Signage   

Digital signage is a service offered to University departments to display University news and events, way finding, Department news, educational information and emergency alerts and notifications.

These are tools designed to help an individual accomplish and organize his or her work. UAlbany provides a growing "toolkit" of such tools.  The tool or tools that you choose to utilize may vary from case to case, depending on your needs.

Personal File Storage and Sharing

  •  Several different file storage options are available.

Microsoft 365 Apps Subscription License

  • UAlbany faculty, staff, and students are entitled to a subscription license for Office 365 ProPlus at no charge.
