How to Handle Printing Problems

If a patron loses money, use a department Podium Value Card to print for them

Department cards are kept in the cash register. Complete a No Sale to retrieve

  • Use the department card for the following reasons:
    • when a patron lose money in the SUNYCard machine
    • the printer jams and doesn't give them a free re-print.
    • Someone accidentally purchases a Podium Value Card, and doesn't have another dollar to put on their SUNYCard
  • Do not use the department card for the following reasons:
    • There is no evidence of a printing problem
    • If it is suspected that a patron is trying to get free prints and doesn't have a real printing issue
  • Refunds can be requested at the circulation desk
    • Provide the patron with a Refund Request Form located behind the circulation desk
    • Completed Forms are given to Library Accounting who process refunds.  Refunds from Library Accounting are only for SUNYCard errors, where the machine takes their money and doesn't give them credit.
  • All other SUNYCard problems, such as a user thinks their balance is wrong, must be dealt with at the SUNYCard Office
  • Copier jams, toner, and adding paper- Key to unlock copiers is in the key box
    • Contact Jim Scalara for all public printer needs Monday - Friday 8 AM to 2:45 PM
    • Off hours, staff may add paper and fix paper jams. Jim handles the toners.  Place an Out of Order sign, if necessary, and contact Jim via email for assistance when he returns
  • Printer jams, toner, and adding paper
    • Paper is added each weekday morning by University ITS.  They also replace the toner cartridges, which they monitor
    • ITS at the circulation desk manages jams, or library staff may do so when ITS is not available.
    • Anytime there is a problem with a printer that cannot be fixed, and ITS is not available, place an Out of Order sign on the affected machine.
  • Report all other printer issues to the ITS Help Desk
