General Information

  • Blocks are designed to prevent library user's from borrowing material if they have overdue fines, lost books, an address issue, or a returned check. 
  • Blocks are placed on the patron's ALEPH record in the Global Blocks field, and are removed when issues are resolved.

Types of Blocks

  • 12 Block Registrar:  Item(s) on the patron account have been declared lost, usually at 55 days overdue for regular loan books.  Items that have short term loan periods are declared lost at much shorter intervals. 
    • Applied by the Calculations Clerk or Billing Supervisor when an invoice is generated for a lost item
    • Patron may not borrow material until overdue items are returned, and fines are paid, unless they file an Appeal or have an Appeal pending (see Appeal procedures)
    • Blocks are removed by the Calculations Clerk or Billing Supervisor
  • 13 Block Student Accounts:  Fines/fees on the patron account have been transferred to Student Accounts, usually at 75 days overdue for regular loan books, but always 20 days after being declared lost regardless of their item type
    • Students may not borrow material until overdue items are returned, and fines are paid, unless they file an Appeal or have an Appeal pending (see Appeal procedures)
    • Students MUST pay at Student Accounts, or online using E-Pay located in MyUAlbany
  • 14 Block Write Off:  
    • Applied by the Calculations Clerk or Billing Supervisor when notice is received from Student Accounts that an invoice has been written off by the University
    • Patron may not borrow material until overdue items are returned, and fines are paid, unless they file an Appeal or have an Appeal pending (see Appeal procedures)
    • Patron still owes the fine/fees to the library, but must pay at Student Accounts (see Billing Procedure for Write Offs)
  • 15 Block AG Turnover:  Fines/fees from faculty, staff, or courtesy borrower accounts have been sent to the Attorney General for collection. 
    • Applied by the Calculations Clerk or Billing Supervisor when an invoice is generated at 75 days overdue
    • Patron may not borrow material until overdue items are returned, and fines are paid, unless they file an Appeal or have an Appeal pending (see Appeal procedures)
    • Patron MUST pay through the mail to the drop-box address that is on their invoice.  A return envelope is also supplied
  • 16 Block Invalid Address:  Usually originates from returned email or first class mail. 
    • Any staff member may add this block, usually added by the person processing returned mail 
    • Block mAy be overridden to allow user to borrow, as long as they do not also have a block due to overdue fines, fees, or replacement material
    • Patron must update either their mailing or email address in MyUAlbany
  • 17 Block Returned Check:  
    • Applied by the Calculations Clerk or Billing Supervisor when a check is returned for insufficient funds for library fines, fees, or replacements
  • 99 Block See Note: Used to alert staff to check the patron's general notes
    • No longer used, but was previously used for invalid addresses

When is it OK to Override a Block?

  • When an Appeal is pending 
    • Note: Once an appeal decision is make, it is stated in the users Global Notes and they no longer quality for an override
  • When a user has a 16 block for an invalid address. 
    • Inform the patron they need to update either their email or mailing address in MyUAlbany
  • When a patron receives a temporary release to register for classes.  This is handled by the Calculations Clerk or Billing Supervisor
  • With supervisor approval, it may be permitted to override a block to renew library items in the spirit of preventing additional fines for a user

How to Override a Block

  1. Enter the staff person's override into ALEPH.  The circulation desk PC's are logged into a student level account that does not allow overrides
  2. Right click on the gold key symbol at the bottom right side of the screen
  3. Right or left click on Temporary Password Override
  4. Enter the staff persons ALEPH override username and password, and select OK
  5. Select the Override button on the right side of the patron record, and the override is applied
  6. Close the staff person override window, and the override will close

Who to Look for If You Have a Question About a Block

Anyone listed below can add, remove or override all blocks, following established library policy and procedures.
