Templates can help when sending standard or otherwise common responses in an e-mail. Microsoft has instructions for creating and using message templates in Outlook (the desktop client) at the links below.

Once created, the template files can be stored in a shared location (say, the Lincoln file server) or distributed to each person needing them. To do these, the creator can go to C:\Users\[yourusername]\AppData\Roaming\Microsoft\Templates\ and copy the relevant.OFT files, then

  • Copy and paste them into a shared location
  • Send them to others, who can save the file(s) to their computers

As an alternative to using the Outlook template menu for creating a new message, you can open (directly or via a shortcut) the.OFT file and click Send after entering the recipient information.
